StorEdge is a Document Management Solution, developed by JIPL, which manages the documents of any organization in the Storage, retrieval and management of Electronic Documents. It is extremely user friendly and also scalable to this requirement.

The StorEdge will have:

1. A user Interface for the user to store and retrieve the information
2. An Admin module for the creation and maintenance of the user and Documents

The StorEdge has the centralized database in which users enters the details of the documents. The system provides the facility of creating various types of users; depending upon type of users the user has access to the resources of the system. StorEdge provides the facility of searching the documents depending upon various search criteria. The software also provides facility for editing the documents (facility which is provided in the Imaging software) that will improves the quality of the document.

So how does StorEdge work?
There would a centralized repository into which people can upload their documents. They could then decide who would have to view, down load or in some cases submit a new version of the Document. As detailed in the diagram, the user details are stored in the database, the document are stored on the Server and decides which user has access and what activity can be performed by the User on a selected document. The system is so designed that even the administrator would not have access to documents/ files, which he is not entitled to.

• Annotation & Comments:
The user can store any comments the he has on a document; the same would be stored in the database and mapped to the user profile. Other users viewing the same document will be able to view the comments also. This ensures in capturing the tacit knowledge within the organization.

 

• Security:
User can access the resources of the software depends on the rights given to specified user by the administrator.

 

• Scanning, Printing & Managing the Documents:
The software provides the feature of scanning the document, printing the document and storing and managing the document depends upon the detailed entered for the document.

 

• Automatic Indexing:
For easy retrieval of any document once it is added to the StorEdge.

 

• Document Status:
Provides the facility to display the status of the document. E.g. Whether the Document is printed or not etc.

 

• Deny list/ include list:
This becomes a good feature when you have a document that is too confidential and has to be accessed by a few. Here you Can define who can read it The other scenario is when you have a doc that needs to be protected only from a few people, say; those who are serving notice periods. Here you can define it as open to all but who are excluded from reading it.

 

• Personalized view:
The User can add select documents from the repository and maintain it for easy access.

 

• Boolean search:
(Much database searching is based on the principles of Boolean logic. Boolean logic refers to the logical relationship among search terms, and is named for the British mathematician George Boole. Boolean logic consists of three logical operators: OR AND NOT).

 

• Search document (incl. Content), annotations, FAQs Add entire directories to the document system. This is useful for onetime or large uploads.

 

• Audit trails:
The DMS keeps track of the users and their activity on the DMS system.
